Mechanics’ Hall Event Staff 

Position Summary:
Mechanics’ Hall, an anchor of Portland’s downtown arts and culture scene, is hiring 2–3 Event Staff to help create a warm, welcoming atmosphere for performances, book launches, and beyond. Event Staff support all stages of an event, from setup to breakdown, and work alongside staff and volunteers to ensure everything runs safely and smoothly. This role helps protect our historic building, supports artists and guests, and keeps our events operating at a high standard. All Event Staff receive full training in Hall procedures and will join a fun, creative team in the heart of downtown Portland.

Main Responsibilities

Ensure a positive, high-quality experience for guests, volunteers, and artists in line with the Mechanics’ Hall mission. Responsibilities may include, but are not limited to, the following:

  • Event Setup: Set up tables, chairs, projectors, speakers, and other equipment according to the plan shared by the Community Engagement & Programs Manager
  • Greeting Artists/Speakers: Welcome artists, presenters, performers, and partners; assist with questions and gather necessary supplies
  • Greeting Guests: Answer questions about the event, including wayfinding, program locations, accessibility requests, and general information about Mechanics’ Hall. 
  • Front of House Duties: Operate the front desk box office,  including taking attendance, selling tickets, accepting donations, and monitoring the front door. At the end of the event, reconcile the cash box and ensure all funds and records are properly secured.
  • Introducing the Event: Ensure the event starts on time; occasionally give welcoming remarks and introduce speakers or performers
  • During Events: Troubleshoot technology, building, or guest issues; assess and respond to guest needs; document the event with the provided camera.
  • Event Breakdown: Put away tables, chairs, projectors, and other equipment; remove trash from the building
  • Lockup: Follow building procedures to close and secure the building at the end of the event. 
  • Respond quickly and calmly, and assist others in case of an emergency
  • Private Rentals: Ensure renters have needed equipment; troubleshoot surprises, spills, or building-related issues, liaise with clients, vendors, and guests to ensure a smooth experience and compliance with Mechanics’ Hall contracts and policies. 

Hours and Schedule

This role requires a flexible schedule, including select nights and weekends. Primary coverage is needed on Monday and Tuesday evenings. Availability on weekday evenings and occasional weekends is essential. This is a per diem position, approximately 4–12 hours per week, with potential for more depending on the event and rental schedule and candidate’s availability. 

Qualifications

  • Warm, approachable presence with strong people skills. Enthusiasm and a can-do attitude are recommended.
  • Experience working with the public and providing high-quality customer service
  • Experience in an arts venue setting (strong plus)
  • Creative, proactive problem-solver with strong attention to detail
  • Comfortable using event-related technology (POS systems, tablets, basic audio or projector setups) or willing to learn
  • Able to independently set up chairs, staging, and folding tables according to floor plans. 
  • Ability to move and lift up to 50 lbs with the help of dollies and other equipment
